Mean Robotics LLC · AirVault Evidence
Privacy Policy
Effective date: October 14, 2026
This policy explains what stays on your device, what may leave it when you choose to share or synchronize, and how to contact Mean Robotics LLC about your information.
1. Who we are and what this policy covers
Mean Robotics LLC provides this website and AirVault Evidence, including its on-device Scribe feature and optional Teams workspace functionality. This policy explains information handling for those services. A separate product notice or written enterprise agreement may provide additional details. For privacy questions, contact contact@meanrobotics.com.
2. Evidence stored on your device
AirVault lets you capture or import photos, videos and audio, write observations, annotate images, and add drawn signatures. Session titles, capture timestamps, provenance labels, file checksums, derived media, reports and reviewed transcripts may form part of your evidence record. These records are stored locally unless you choose to export them or connect an available workspace service.
Local capture does not require an AirVault account. Mean Robotics does not receive your recordings merely because you capture, play, hash or finalize them on your device. The Scribe feature requests on-device speech recognition where supported; it does not send your audio to Mean Robotics for transcription. Recognition availability depends on your operating system, installed speech provider and language support. Your operating system and its services have their own privacy settings and notices.
The app uses private application storage for its working files and OS-backed secure storage for supported credentials and keys. Some session metadata is encrypted. This does not mean that every original media file or exported ZIP has separate application-level encryption. Device access controls and the security of your exports remain important.
3. Camera, microphone, location and device information
- Camera and microphone access support the capture actions you initiate.
- Session location is off by default. If you enable it and grant permission, location coordinates, accuracy and time may be attached to captured evidence.
- Available capture telemetry, such as heading, altitude and tilt, may be included when the corresponding capture settings and device support permit it.
- Storage and battery checks help warn about conditions that could interrupt capture or saving.
- Network state is used to manage optional transfers; the app can queue uploads and use permitted networks after you connect a workspace.
You can manage permissions in device settings. Disabling an optional permission can limit its associated feature. Imported files may already contain embedded location or other metadata. Preserving original media does not remove that metadata.
4. Optional workspace sign-in and synchronization
If you connect an available Teams workspace, its identity provider processes sign-in. The app stores supported tokens and a generated pairing device identifier in secure storage. The workspace receives the identity and device information needed to authorize uploads, associate submissions with members and enforce revocation.
After pairing, finalized proof packets may queue and upload automatically according to the app's network policy; manual synchronization may use mobile data. Uploaded packets can include original media, observations, transcripts you included, signatures, capture metadata, checksums and the PDF report. Drafts are not uploaded through the finalized-packet queue. Transfer state and verification receipts are stored to support resumption and show results.
Workspace administrators and other authorized members can access records according to their roles. Your organization determines access and retention under its agreement and policies. Disconnecting the app or deleting a local session does not delete a copy already held by a workspace. Production workspace availability is subject to the service or organization's deployment; this policy is not a promise that a hosted service is currently available.
5. Website visits and communications
Our hosting and security providers, including Cloudflare for this website, may process technical request information such as IP address, browser details, requested URL and request time to deliver content, protect the site and investigate faults or abuse. Hosting or security features may use cookies or similar mechanisms where needed for their operation. Browser controls can limit cookies, which may affect those features.
If you email us, we receive the information you send, such as your contact details, message and attachments. We use it to respond, provide requested support or services, maintain relevant business records and meet legal obligations. Please avoid sending unnecessary personal information, credentials or confidential evidence by ordinary email.
Workspace subscriptions and purchase verification
When an authorized workspace administrator chooses an available Google Play subscription, Google processes the payment under its own terms and privacy policy. AirVault does not receive the payment-card number, bank-account details or payment authentication credentials from that transaction.
To verify and deliver optional workspace capacity, the app sends the purchase token to the workspace billing service. That service checks the purchase with Google Play and records the product and base plan, purchase or renewal and expiry status, acknowledgement and revocation state, and the associated workspace, member and paired-device identifiers. An obfuscated account identifier derived from the workspace identifier associates the purchase with the workspace. These identifiers are pseudonymous, not anonymous, and can be linked to the workspace and its authorized members.
We use these records for subscription delivery, account administration, renewals, cancellations and refunds, fraud prevention, enforcing seat and storage allowances, and resolving billing disputes. Billing identifiers and purchase tokens are not used to target advertising. Refund, cancellation or expiry does not silently erase evidence records; it can pause new cloud transfers or reduce capacity according to the applicable plan.
Production workspace transfers use HTTPS. Depending on the workspace deployment, hosting and storage providers may include Amazon Web Services, and network delivery or protection may involve Cloudflare. Uploaded evidence remains accessible to authorized workspace users and service components; it is not described as end-to-end encrypted against the workspace operator. Connecting a workspace and purchasing additional capacity are optional; local capture, playback and sealing remain available without a workspace subscription.
Billing, security and replay-prevention records are retained as needed to administer purchases, prevent a revoked purchase from being reused, investigate disputes and meet applicable legal obligations. They do not follow the evidence packet's 30-day soft-delete timer automatically. Subscription cancellation and a privacy deletion request are separate actions. To request access, correction or deletion, use the contact method in Your choices and privacy requests; we explain any lawful retention or organizational authority that limits immediate deletion.
6. Purposes, providers and disclosure
Information we receive is used to provide requested services, authenticate and secure workspace access, verify and organize submitted packets, resolve support requests and operate or protect our services. Local-only evidence is not available to us for those purposes unless you send or upload it.
We do not sell your personal information or evidence, or use your captured evidence for advertising. Necessary service providers may process information to deliver hosting, identity, storage, security or support functionality. Organization-managed providers and recipients you select have their own responsibilities and policies. Information may also be disclosed when required by law, to protect lawful rights or safety, or in a business transfer subject to applicable protections.
Share sheets, Save to Downloads and other exports create copies outside the app's private storage. Recipients and other applications may access those copies. Exported ZIP packets are not automatically encrypted or restricted by AirVault. Choose recipients and transfer methods appropriate for the sensitivity of the evidence.
7. Retention and deletion
Local sessions remain on your device until you delete them or the relevant application data is removed. You can delete sessions using the app's controls. Keep any needed exports before deletion. Uninstalling or deleting app data does not remove copies in Downloads, other apps, recipient devices or a workspace.
Workspace retention depends on the organization's policy, contract and applicable law. The current Teams retention design uses a minimum 30-day soft-delete grace period before eligible records can be permanently purged. Longer retention, active legal holds, backup policies and operational recovery can extend retention. A soft delete is not immediate permanent deletion.
We retain communications and operational information for the period needed for their stated purposes, security, support and applicable legal obligations. Where we cannot immediately erase information for a valid reason, we limit its use as appropriate. A workspace administrator or provider may control records that Mean Robotics cannot directly delete.
8. Your choices and privacy requests
You control capture, optional location, exports and whether to connect a workspace. Applicable law may give you rights to access, correct, obtain a copy of, delete or restrict certain personal information, or object to processing. To make a privacy or workspace account-deletion request, email contact@meanrobotics.com and identify the service and request without including your password or authentication tokens.
We may need to verify your identity and coordinate with the responsible workspace administrator or identity provider. Requests are handled subject to applicable law, authority over the records and legitimate retention requirements. Account deletion, workspace disconnection and deletion of an individual evidence packet are different actions. Finalized evidence cannot be silently edited; corrections may require a follow-up record.
9. Security, international processing and children
We use safeguards appropriate to the functionality we provide, including supported OS protections and HTTPS for production workspace transfers. No device, export or online system can be guaranteed secure. Providers may process information in different countries, subject to their applicable arrangements and legal protections.
Our services are intended for professional and general-purpose adult use, not directed to children under 13. If you believe a child has provided personal information to us, contact us so we can investigate and take appropriate action.
10. Changes and contact
We may update this policy to reflect changes in functionality or information handling. The effective date identifies the current version; material changes requiring notice or consent will be handled as required by applicable law.
