Mean Robotics LLC · AirVault Evidence
Terms of Service
Effective date: October 11, 2026
These Terms explain lawful use of AirVault Evidence, your control over records and exports, and the limits of file-integrity verification.
1. Scope and agreement
These Terms govern use of the Mean Robotics LLC website and AirVault Evidence, including supported on-device Scribe and optional workspace functionality. By using the services, you agree to these Terms where a valid agreement is formed under applicable law. An applicable signed enterprise agreement or product-specific license controls its subject matter if it conflicts with these general Terms.
You must have legal capacity and any required organizational authority to use the service or accept an agreement on another party's behalf. Mandatory consumer protections remain in effect.
2. Permitted use and ownership
Subject to these Terms and any applicable product license, Mean Robotics permits you to use the software's supported functionality for lawful personal or business purposes. Mean Robotics and its licensors retain ownership of their software, website and branding. You retain your rights in the content you capture, import or submit. A workspace submission authorizes the processing reasonably necessary to provide its requested storage, verification and viewing functions; it does not transfer ownership of your evidence to Mean Robotics.
3. Your responsibilities
- Obtain any legally required permission to photograph, record, collect location, capture signatures or handle another person's information.
- Use lawful content and accurate descriptions; do not misrepresent imported files, transcripts, identities or captured events.
- Protect your device, credentials, exported packets and workspace access, and promptly report suspected unauthorized access.
- Review capture quality, timestamps, location accuracy, annotations and speech transcripts before relying on or finalizing them.
- Keep independent copies of evidence you need and comply with your organization's retention, disclosure and legal-hold requirements.
- Do not interfere with service security, access another tenant's records without authorization or use the service to facilitate unlawful activity.
Do not submit regulated or restricted information unless the intended deployment, agreement and organizational approvals permit it. Product features alone do not establish suitability for every contractual or regulatory use.
4. What evidence verification does and does not establish
AirVault creates manifests and cryptographic checksums so files can be checked for consistency with the packet's recorded values. An independently retained packet fingerprint can help compare a packet with a previously retained reference. Verification does not independently establish real-world truth, capture identity, a trusted timestamp, witness presence, ownership of a depicted object or legal admissibility.
An unsigned packet and its manifest can be rebuilt together. A successful internal consistency check alone is not proof that no replacement packet was created. Drawn signatures, annotations and visual watermarks are recorded content, not independently authenticated signatures or a guarantee of consent. Speech recognition may contain errors and requires review.
APK release signing is separate from evidence-packet authenticity. FIPS 140-3 validation is not claimed for this application build. No agency authorization or general guarantee of regulatory compliance is provided by these features.
5. Finalization, storage and exports
Finalization locks a session against in-app additions and editing. A correction or new observation may require a follow-up session. Finalization does not prevent you from deleting a local session, losing the device or changing an exported copy outside the app. Check that needed captures have finished saving and that exported packets verify.
The standalone app stores records on your device. Device failure, loss, deletion or removal of app data can make those copies unavailable. Mean Robotics cannot restore local-only evidence that it never received. Maintain suitable backups before deleting data or replacing a device.
ZIP and PDF exports may contain sensitive originals, notes, signatures and location metadata. Save to Downloads and sharing create copies outside private app storage. Those exports are not automatically encrypted. You are responsible for recipient authorization and an appropriate transfer/storage method. Email and third-party transfer limits vary; the app's size guidance is advisory.
6. Optional workspace services
Workspace features require an available deployment, supported identity provider, authorized membership and device pairing. They are separate from local-only capture. Connecting a workspace can queue finalized packets for automatic transfer on permitted networks; manual synchronization may use mobile data and incur your carrier's charges.
Administrators determine membership, roles, device access and retention under the organization's agreement and policies. Disconnecting or deleting local evidence does not retract an uploaded copy. Soft-deleted workspace records can remain during the minimum 30-day grace period and longer when retention or legal holds apply. Do not use deletion to evade preservation obligations.
Hosted availability, support, pricing and any service-level commitments are specified only in the applicable offer or written agreement. The presence of workspace functionality in the app or this notice does not promise a currently available public cloud service.
7. Privacy and third-party services
The Privacy Policy explains information handling. Operating systems, app stores, speech providers, identity providers and recipients of your exports may have separate terms and privacy practices. Mean Robotics does not control your selected recipients or organization-managed services. Use those services consistently with their terms and your responsibilities.
8. Charges, changes and termination
Any paid service, subscription, support or refund conditions are disclosed in the applicable purchase or enterprise agreement. These Terms alone do not enroll you in a paid plan or impose an undisclosed fee.
Features and compatibility may change. We may restrict or terminate access to an online service for material misuse, security reasons or as permitted by the applicable agreement and law. Where required, we provide notice or an opportunity to export data. You may stop using the service; preserving needed evidence and handling outstanding contractual or legal retention duties remain your responsibility.
We may update these Terms and identify the effective date. Material changes requiring notice or further acceptance will be handled under applicable law. No change overrides non-waivable rights or an applicable signed agreement.
9. Warranties, responsibility and mandatory rights
Except for commitments expressly made in an applicable written agreement and rights that law does not allow to be excluded, the website and software are provided as available, without a promise of uninterrupted operation, error-free results or fitness for a particular dispute, evidentiary or regulatory outcome.
To the extent permitted by applicable law, Mean Robotics is not responsible for losses caused by unlawful or unauthorized use, inaccurate user-provided content, failure to preserve local-only data, third-party systems outside our control, or disclosure to recipients you select. Nothing in these Terms excludes liability or remedies that cannot lawfully be limited, or relieves Mean Robotics of its own applicable legal obligations. Any separate enterprise limitation-of-liability provision is governed by that agreement and applicable law.
10. Questions and resolving concerns
For questions, support or a concern about these Terms, contact Mean Robotics LLC at contact@meanrobotics.com or our contact page. Please identify the product and issue without including passwords or authentication tokens. Applicable law and any valid written agreement determine dispute rights; these Terms do not impose mandatory arbitration or remove non-waivable consumer remedies.
